Understand assistance with governance work

HiveAI has source integrations for reading approval bodies, preparing changes to them and recording governance outcomes. These can help a person examine authority and prepare a precise proposed action. The source service checks the proposal again when execution is requested.

This page explains the implemented source capabilities and their limits. It does not establish a deployed assistant screen or prescribe unverified buttons. HiveAI access and availability explains the wider subscription, permission, policy, provider and spending controls. The normal approval-body guide remains the reference for the inspected administration journey.

What assistance can prepare

Area Supported source capability What still needs your attention
Read authority List bodies, read one body's detail and obtain member/delegate choices Whether the answer is partial, current and for the correct workspace
Configure a body Create or update its details, active state and quorum The intended authority, protected-body rules and effects of a change
Manage membership Add or deactivate a member, change voting/signing authority and change chairperson The right person, effective period and specific powers being changed
Manage delegation Add or end an authority delegation The originating signer, delegate and intended period
Record an outcome Record a review, decision, approval, compliance action, escalation or risk-prevention outcome The real work, accurate chronology, supporting evidence and any correction

Reading does not change authority. Preparing a proposal does not save the change. Approval and successful source execution are later steps. Recording an outcome also does not execute the underlying request, sign a document or collect an independent verifier confirmation; see outcome records.

Access follows the action

Reading ordinary approval-body information requires permission to view it. Preparing member/delegate choices and changing a body's configuration require governance management permission. The assistant's governance-outcome integration uses view permission together with effective membership in the selected active body and the wider governed-action controls. This differs from the ordinary outcome-recording service, which requires management permission.

That difference does not allow someone to grant themselves authority, bypass the assistant approval process or treat a recorded outcome as a valid vote. The source still applies its aggregate and membership rules. The connected access and approval path must be verified before treating the capability as delivered to a particular user.

Read incomplete answers carefully

A list can be limited to a bounded number of bodies. Member and delegate suggestions also depend on a separate workforce lookup. A partial response means the assistant has not established the complete set. Narrow the question or use an available connected source view; do not assume the first results are the only eligible people.

The authoring information uses current effective membership. Reserved organization-head bodies do not offer ordinary add-member candidates. Delegate suggestions require a selected current signer, exclude that signer and currently delegated targets, and apply the reserved body's membership restriction. Suggested choices help prepare a change; the source must validate it again when saving.

An empty response needs context. It can mean no matching body was found, or that the workforce response needed to prepare choices was unavailable or unsuitable. It does not always establish that the organization has no people or authority bodies. Permission denial is a separate result.

Examine the proposed change

Before approving an offered proposal, check the workspace, exact body or work reference, people, powers, dates and intended result. For an outcome, check the proof reference, real chronology and whether this is a new record or a correction. For a delegation, check both the originating member and recipient.

The source preview records a particular representation of that proposal and the source state it inspected. It returns a five-minute expiry. Execution still depends on the approval's own validity and current authorization; the preview is not a promise that the action will succeed during that entire period.

If the relevant source version changed, the approved version no longer matches and the source rejects execution. Review the current state and prepare a fresh proposal through the governed process. A preview also does not exercise every final domain rule. For example, having another member available during a risk-prevention preview does not establish that execution can derive the required verifier from the current chairperson arrangement.

The assistant acts using the authorized workforce actor and requesting account carried with the approved action. These identities should be understood alongside the approval, rather than attributing every change to a generic assistant or assuming the approver personally performed the underlying work.

Confirm what actually happened

Successful source execution attempts to read the resulting body or work item and returns a result. That result is distinct from a complete business-process outcome, reporting receipt or proof that the supporting material was independently reviewed.

If the response is lost, the source can retain a receipt for the original execution attempt. Support can query that attempt without executing the action again. A completed receipt means a response was retained; that response may report that the action was unavailable or denied. Read the actual result before describing the change as successful.

Situation Appropriate next step
Permission or approval has expired Re-establish access and review a current proposal through the governed process
Source changed after preview Inspect the current body/work and prepare a new proposal for the intended change
Preview succeeded but saving is denied Check the source rule, membership, chairperson, protected-body restriction or correction state
The action may have saved but its result cannot be read Preserve the original attempt and reconcile it before approving a replacement
Receipt is pending or not found Have support establish the original attempt's state; this alone does not prove the business change failed
A receipt is completed Read its stored outcome and confirm the relevant source state
A saved outcome is missing from reporting Follow the separate reporting recovery guidance

Do not start a fresh request simply to get past an uncertain result. Give authorized support the workspace, body/work reference, proposed action, original attempt reference and last confirmed response. Keep supporting material in its approved source. A result reference is not a guarantee that a working reader page exists for every outcome.
