Set up your account and join a workspace¶
Use this guide when you are new to Zerohive, have received an invitation, or need to ask an organization for access. A workspace is the organization's area in Zerohive. Your personal account lets you sign in; workspace membership determines where you can work.
Draft availability: These steps describe the intended experience in the final designs. The frontend is still being built: registration, activation, invitation review and join-request submission have connected account screens, while the administrator actions described below remain previews. Differences that affect these tasks are noted beside the instructions. A connected screen does not establish availability in your environment; the guide still needs a live walkthrough and reader review.
Before you begin¶
Use an email address you can receive messages at. If someone invited you, use that same address. If you are requesting access, ask the organization's administrator for its exact short workspace name, such as example-team, and confirm that your email domain is permitted.
If you already have a verified account, sign in instead of creating another one. If it was deactivated, use the account recovery guide. Creating another registration or requesting workspace membership does not reactivate it.
Create your account¶
- Open Create account from the sign-in experience.
- Enter First name, Last name and Email. Check the address carefully before submitting.
- Choose Create account. The next state says Check your email and identifies the address used.
- Choose Enter activation code to continue. Registration itself does not ask you to choose a workspace or a password.
If the email is already registered, use the existing account. A newly invited person may already have an unverified account waiting for activation. Use the activation flow and request a fresh code if necessary, rather than repeatedly submitting registration.
The separate Account already exists page currently includes example organization hints rather than a verified membership list for your email. Do not use those hints to decide which organizations you belong to. After signing in, use the connected workspace list and invitation inbox.
Activate your email and choose a password¶
- Open Activate your account. Confirm the Email field matches your registration or invitation.
- Enter the six-digit email code in Code. Use the latest code if you requested more than one; the code lasts 30 minutes from issue.
- Enter Password and repeat it in Verify Password. The current frontend calls that second field Confirm password. Use at least eight characters. For fewer than sixteen characters, include at least three of lowercase, uppercase, digits and symbols. Longer passphrases are accepted by the application rule.
- Choose Activate account. The intended success page says Ready to sign in; choose Sign in and use the password you just set. The connected form currently takes you directly to sign-in after activation.
If the code is missing or expired, check that the email is correct and choose Send a new code. The replacement invalidates the previous activation code. Mail may take time to arrive; repeated requests make older messages unusable. Do not share activation codes or passwords with an administrator or support.
The current error screen labels different activation failures Activation code expired, including cases that are not caused by expiry. Check the email and that both password entries match as well. Editing a field clears the error presentation and restores the editable password controls; enter the intended password again if the page showed example values. If the account is already activated, return to sign-in. If it is inactive or activation continues to fail, ask for support without sending the code or password.
Spaces at the beginning and end of your password are currently removed when you submit it. Avoid relying on those spaces as part of your password. Additional sign-in verification is covered by the sign-in guide.
Review an invitation¶
An invitation is an offer to join a named organization in a specified role. A new recipient may receive an invitation message and a separate activation-code message. Complete activation first if required, then sign in. Opening an invitation link does not accept the invitation; you must still review it and choose your response.
- Open the account area's Invitations tab. Use this inbox if an invitation link does not open, or if signing in does not return you to the invitation.
- Choose Review invite for the organization you recognize.
- Check the organization, offered role and Respond by date.
- Choose Accept invitation to join, or Decline invitation if you do not want that membership.
- After acceptance, return to Workspaces to find the organization. Entering a product can still depend on its license, permissions, organization policy and delivery status.
The buttons are disabled while the current decision is being submitted. The page shows Invitation accepted or Invitation declined after a successful response. If it instead says Invitation needs attention, check the message and reload the current inbox before assuming the action succeeded. A second decision cannot change an invitation that is already accepted or cancelled.
An invitation can disappear because you responded, an administrator withdrew it, cleanup removed it, or the workspace is no longer active. An expired invitation may remain in the list temporarily, but acceptance will still be refused. Ask the organization's administrator to check the authoritative invitation state and arrange another invitation when appropriate.
Ask to join an organization¶
- Sign in with an active, email-verified account and open the Requests tab to reach My join requests.
- Choose Ask to join a workspace.
- In Workspace address, enter the exact short workspace name supplied by the administrator, such as
example-team. The current form does not extract this name from a full URL despite its hint mentioning links. - Optionally add Why you need access. Keep the note concise and within 500 characters. Explain the business need without including credentials or sensitive records.
- Choose Send request and look for Request sent. This submits a request; it does not grant membership.
The list shows pending requests. The normal role after approval is member; writing a different role into your note does not grant it. If you have an invitation instead, use Invitations to review that offer rather than submitting a duplicate request.
Cancel or replace a request¶
- Find the pending request in My join requests and choose Cancel request.
- Wait for the cancellation result. The intended confirmation says Join request cancelled and the request leaves the pending list. Cancellation does not add you to the workspace.
- To change the workspace or note, choose Ask to join a workspace and send a new request after the old one has been cancelled.
The current frontend also offers View details for the workspace, note and request date, and Retry request to open a prefilled form. These are implementation additions to the inspected final-screen journey. Retry request does not cancel the original request; submitting it while the original is still pending is rejected as a duplicate.
If a request disappears, check Workspaces for newly approved membership and contact the administrator if the outcome is unclear. The list is not a complete history. It currently also shows an empty state when loading fails, so No join requests yet alone is not proof that no request exists. Reload before resubmitting.
For organization administrators¶
The platform supports inviting members, withdrawing pending invitations and approving or rejecting requests. Your account, organization membership and assigned branch must allow access, and you must be an organization administrator. Email-policy and seat-capacity rules also apply. An invitation can offer member or administrator access; approving a join request creates an ordinary member.
The following administrator steps describe the final designs and are not yet connected for normal use. The current screens change sample data without saving invitations or membership decisions. Until that connection is available, use the administrative process provided by your platform team and confirm the saved result before telling a colleague that access has changed.
Invite a colleague¶
- In the correct workspace's Tenant Admin, open Members, then Invitations. Check the workspace name before proceeding.
- Choose Invite Member.
- Enter First name, Last name and Work email. Use the address the person will sign in with.
- Choose the appropriate Tenant role. Ordinary membership is shown as Tenant User in the final invitation form and Tenant Member in the current frontend. Administrator access gives broader control; select it only when the person's responsibilities require it.
- Review the explanation of plan access and the recipient's decision, then choose Send Invitation. Choose Cancel to leave without sending.
- In the connected experience, a saved invitation appears in the pending directory with its recipient, role, inviter and expiry. The recipient must accept it from their account before joining. Sending the invitation does not accept it on their behalf.
Use the invitation directory's search to find the intended person by name or email. Pending invitations are not a membership history: after acceptance, look for the person in Members. An empty invitation list means there are no outstanding invitations in that view, not that the workspace has no members.
Withdraw a pending invitation¶
- In Members → Invitations, find the invitation and choose Review.
- In Withdraw Invitation, check the invitee's email, role, inviter, sent time and expiry. Confirm that this is the invitation you intend to stop.
- Choose Withdraw Invitation to prevent acceptance, or Cancel to keep it.
- Once the connected service confirms withdrawal, the invitation leaves the pending list. This does not remove an already accepted membership. If its state changed while you were reviewing it, reload the list and check Members before taking another action.
Approve or reject a join request¶
- In Tenant Admin, open Members, then Join Requests. Use Refresh List to retrieve the latest requests in the connected experience.
- Find the requester and choose Review.
- In Review Join Request, check the person's name and email, workspace, optional request message, request time and Role After Approval. A request is an application for access, so confirm the business need before deciding.
- Choose Approve Request to add the person as an ordinary member with the current plan's included access, or Reject Request to finish the request without membership. Choose Close to leave it undecided. Branch assignments and organization-head responsibilities are separate actions.
- After a confirmed approval, check Members and ask the person to return to Workspaces. Rejection does not create membership. Do not treat a row disappearing from the current preview as a saved decision.
If the review says Request No Longer Available, another administrator may have decided it or the requester may have cancelled it. Close the review, refresh the list and check membership if necessary. Do not assume that your last click succeeded or keep repeating it against an outdated request.
Pending invitations reserve seats. If capacity is full, review unused invitations and the organization's licensed capacity. Expired invitations are removed by background cleanup, so an expiry date does not guarantee that capacity has already been released. A deactivated existing membership requires reactivation, not another invitation or join request.
When something needs attention¶
| What you see | What to check or do next |
|---|---|
| Email already registered | Sign in or finish activation for that same account |
| Activation code expired | Check the email, latest code and matching passwords; request a new code when needed |
| Invitation not found | Confirm you signed in with the invited address; check the inbox and ask the inviter about withdrawal or expiry |
| Invitation expired | Ask for a new invitation; the old deadline cannot be extended by retrying acceptance |
| Join request needs attention | Check the short workspace name, email eligibility and whether a request or invitation already exists |
| A pending request remains after retry | Cancel it first if you need to change it, then submit a new request |
| An empty request list is unexpected | Reload and check with the administrator; the current list can hide a loading failure |
| Accepted membership but product access fails | Return to Workspaces and check the account, organization, license and permission state with the responsible administrator |
For support, provide the account email, workspace name, approximate time, visible message and which action you attempted. Explain whether the problem is account activation, an invitation, a request decision or later product access. Never include passwords, activation codes or sign-in tokens.
