Email linked to a business task¶
An email can carry a reference to the work it supports. That association helps the responsible business process connect a communication with an outcome. Sending the email, confirming a sender-side copy and verifying its contribution to the work are separate facts.
Zerohive's email service supports sending with a work reference and recording a separate verification. The current interface is still a preview; a complete on-screen journey for work-linked sending and verification has not been established. This page explains the behavior and its business meaning. Use the personal sending guide for the intended mailbox compose steps, including its preview limitations. Entering a task reference into an ordinary message does not by itself create this association.
What the different results mean¶
| Result | What it establishes | What still needs evidence |
|---|---|---|
| Accepted for processing | Zerohive returned a reference for a queued email associated with supplied work information. | Provider submission, recipient delivery and whether the supplied work association is authorized and correct. |
| Accepted by the email provider | The outgoing provider accepted a send attempt. | Recipient acknowledgement, a reliable Sent-folder copy and completion of the business task. |
| Sender-side confirmation | The personal sending recovery path found matching message-identifier evidence in Sent Items. | Recipient receipt or reading, and independent verification of the work outcome. |
| Work-owner verification | A separate verification matched the stored communication, sender, work reference and proof, with a verifier other than the sender. | The business process's own approval rules and the actual outcome being claimed; a generic mailbox badge cannot explain all of these details. |
| Recorded contribution | The service produced a verification-based contribution record. | Successful downstream processing, report freshness and the report's interpretation and access rules. |
The current status response can use the same verified state for different kinds of evidence. A badge alone cannot tell you whether it represents a Sent-folder observation or a work-owner verification. Ask for the underlying business record and the reason for verification when that distinction matters.
Responsibilities and corrections¶
The sender checks the organization, recipients and the work context before sending. The responsible business owner confirms that the communication relates to the correct work and that the stated outcome is justified. The verification path rejects a verifier who is also the sender; it does not establish every approval or separation-of-duties rule for the originating business process.
A changed verification can produce a new correction revision under the same verification identity. A correction is not another email send. The recorded revision sequence reflects processing of accepted changes; it is not, by itself, proof that the most recent business decision arrived last. The source owner and support need to reconcile conflicting or delayed evidence.
The recorded communication contribution is attributed to the sender. Adding someone as a recipient or Cc does not automatically credit that person as a contributor. This record does not measure the email's quality, business impact, effort or recipient satisfaction. Managers and executives should assess the actual work outcome and supporting context rather than using message counts or a verified badge as a performance score.
Retained evidence and reporting recovery¶
Zerohive retains the evidence used to record a verified email contribution so that reporting systems can compare what they received with the original record. Receiving the same evidence again does not create another contribution record in the email service. It also does not, by itself, prove that a report has received or processed it.
When a reporting update is missing, support can investigate whether the original evidence is available and whether it matches the reporting request. The implemented recovery path republishes that retained evidence. It does not send another email, repeat the business task or create a new verification. A correction remains a separate revision of the evidence.
Changes that arrived after an earlier reporting comparison can prevent recovery from proceeding under the old result. Support needs to reconcile the records and the report's current state. Retain the original work and communication references; do not resend mail or request a new verification simply to make a dashboard change. A successful recovery attempt still needs confirmation from the receiving reporting system.
Recover when the work and email disagree¶
| Situation | Appropriate next step |
|---|---|
| The email was accepted, but the work is still open | Review the business task with its owner. Sending an email does not complete that task. |
| The email status is uncertain | Follow sending recovery and reconcile the original attempt before another send. |
| A verified badge appears without an explanation | Ask which evidence established it and which work outcome, if any, was verified. Do not infer recipient delivery. |
| The wrong work reference or sender appears | Stop relying on that association and ask the source owner and support to reconcile the stored evidence. A changed subject does not repair an existing association. |
| A correction has not appeared in a report | Check the source verification and report freshness through authorized support. Do not resend the email to force a reporting update. |
| The displayed sending state seems stale | Recover or request the current status. Background status publication alone does not establish an automatically updating screen. |
| Support finds a historical email response | Let support use the procedure for that stored record. Older response states do not have all the distinctions of the current dispatch path. |
Keep the original send reference, organization, sender, intended recipient, approximate time and relevant work reference. Provide any error and the business outcome being checked through the approved support channel. Avoid sending another copy while the original outcome remains uncertain.
Read mailbox email history for the limits of ordinary outgoing activity. Connection history, sending activity, verification-based contribution and the underlying business record serve different purposes.
