Read and respond to your HR queries

An HR query is a formal notice issued by HR asking you for an explanation. My HR queries brings together notices associated with your staff identity, their response deadlines and your recorded responses. It is separate from the manager's confidential casework view.

Availability: This guide follows the inspected My HR queries final designs, including the response dialog and closed view. The current frontend uses sample support-request pages and does not yet establish connected formal-query reading or submission. Follow these intended steps when the connected experience is available; preview success text is not proof that a response was saved.

Find a query

  1. Open Cases, then My HR queries.
  2. Search by case/query reference, title or notice subject. Use the query-status filter to narrow the results.
  3. Choose Open for the relevant item.
  4. Confirm the reference, notice subject, response deadline and current state before responding.

The list is tied to your staff profile and identity. It does not give you access to another staff member's query. A missing or outdated staff association can affect which queries you see; ask HR or support to check the association if an expected query is absent.

The list returns the case reference, title, stage, case/query states, current notice subject, response deadline, overdue indicator, delivery status, response count and last case-update time. Some designed rows additionally show delivery dates, response timing and review outcomes; those need detail data and are not guaranteed list facts. Open the query to verify them.

The current implementation can show a saved draft before it is issued. A Draft label does not mean a notice has been issued or delivered. This differs from the design's description of the list as issued queries and remains a reconciliation item.

Search covers reference, title and current notice subject; it does not search every response or confidential case note. Refreshing or paging can show changed results as work progresses. A no-results view is not proof that the organization has no HR matter concerning you.

Read the notice and response history

The intended detail view shows the current notice, deadline, delivery information and your responses. Read the notice itself rather than relying on a list summary. A notice filename is a link to separately governed content; file access and availability still need to succeed.

The employee view removes internal case notes, decisions, most relationships, tasks, workflows, personnel-file links and earlier notice versions. It also omits internal review and withdrawal reasons and the linked escalation identity. It is not a complete copy of the HR manager's case file.

The outcome and review time can remain visible, but the current employee view omits the reviewer identity and review reason shown in the inspected closed-screen example. Ask HR through an approved channel for an explanation when needed; do not assume that missing internal detail is a failed save.

Delivery status, query state and deadline are distinct. Awaiting response means the case received issuance confirmation; it does not independently prove delivery or that you opened the notice. The query is marked overdue only when it is awaiting a response and its response deadline has passed.

Submit your response

  1. Open the correct query and review its current notice.
  2. Choose Respond when available.
  3. In Respond to this HR query, enter your Response.
  4. If adding context to an earlier response, select it in This response supplements. For a first response, leave that association empty.
  5. Choose Submit response.
  6. Reopen or refresh the query and verify that your response appears in its history.

Response text is required and supports up to 20,000 characters. Write a complete, factual explanation relevant to the notice. The inspected dialog and request support text and an optional earlier-response association; a separate attachment-upload step is not established.

You need your own-response permission and a verifiable staff profile matching the query's subject. The current implementation accepts responses while the query is Awaiting response or Under review, with an open parent case. It does not reject a response solely because the deadline has passed. The design's “only while awaiting” wording needs to account for the supported Under review continuation.

Submitting adds a response and moves the query to Under review. It does not close the query or establish that HR has accepted the explanation. The system records your identity and submission/received time; you do not choose another person's identity.

Add information or correct an earlier response

A supplement is an additional response associated with an existing response in the same query. It keeps the earlier entry rather than silently replacing it. Select the relevant earlier response and explain the added or corrected information.

An already submitted response cannot be edited or deleted through the current response actions. If the query is still accepting responses, use an appropriate supplement. If it is closed, escalated or withdrawn, contact HR through the approved process. Do not assume an ordinary case note or the frontend's sample Add follow-up link will submit a formal supplement.

HR can also record a response received outside WorkOS. That entry distinguishes the staff subject from the HR officer who recorded it and includes the received time and channel. If an offline response is missing or inaccurate, ask HR to reconcile that specific entry.

Deadlines and completed queries

A deadline extension is performed by an authorized HR manager, with a reason and change history. The current notice version may still contain its original deadline, so check the current query deadline as well. An extension does not itself prove that a revised notice was sent.

Closed, escalated and withdrawn queries do not accept another response through this operation. Escalation closes the original query case and creates separate follow-up work for HR; your own-query view does not automatically reveal that internal case.

An outcome such as Explanation accepted describes the recorded review. It is not a guarantee that all related filing, notifications or other administrative work has finished.

If something goes wrong

Situation What to do
An expected query is missing Check filters and workspace, then ask HR/support to verify your staff association and the query's current state.
Respond is unavailable Check whether the query is terminal and whether your own-response permission and staff association are valid.
The response deadline has passed Check the current state and available action. Contact HR if you cannot respond; passing the deadline alone does not prove closure.
Submission times out or the result is unclear Refresh the existing query and check its response history before submitting the same text again.
A supplement cannot be linked Reopen the response history and select an entry from this same query.
The notice file fails to open Report the file-access problem separately; do not use another person's account or assume the visible filename grants access.
The page still shows sample support-request content Do not treat its submitted or follow-up preview as a recorded response to a formal notice.

When requesting help, use the reference and time through an approved channel. Avoid copying the full confidential notice or response into an ordinary support message.
