Find and read memos

Use memos to read formal internal communications and their supporting files. The title and reference help you find the right item; the sender, publication date and current status help you decide whether it is the communication you need and whether its instructions still apply.

Availability: These steps follow the inspected Final Screens. The current interface connects the memo list and detail to the service. Saving edits, running memo actions and opening attached files still need a connection fix, so those controls remain unfinished. Deployed workspace access has not been verified. A design preview still uses examples and cannot establish saved changes or access to real memos. New supporting-file uploads remain unfinished. See the separate authoring and lifecycle guides for preparing and managing memos.

Before you begin

Use your organization's WorkOS workspace and an account with memo-reading access. Reading published communications also requires that you are among their saved recipients. The Manage view requires additional memo-management authority, which currently permits browsing across the organization.

A visible tab or button does not grant permission. External participants should not assume that an invitation to another kind of work includes memo access. If you cannot access Memos, ask your administrator to confirm your workspace and permissions.

Find a communication addressed to you

  1. Open Correspondence, then Memos.
  2. Choose Communication. This is the intended recipient view.
  3. Review the title and reference, From, status and publication information. Use Previous and Next to move through the results.
  4. To narrow the results, enter part of the title or memo reference in the search field. Choose Search where that button is present, or press Enter in the search field. The current interface submits the search through either control; the design still needs consistent search controls across layouts.
  5. Select View memo for the item you want to read.

Search supports title and reference text. It does not search the sender, audience or the full memo body. Search is case-insensitive; punctuation such as a percent sign is treated as search text, not as a wildcard instruction. Use a known part of the reference if a title is difficult to distinguish.

The result count belongs to your selected view and search. It is not the total number of memos in the organization. Communication does not provide a management-status filter. A zero result can mean there is no matching communication addressed to you; it does not prove that the organization has no memos.

Read the selected memo

Confirm the title and reference before acting on the content. The intended detail page presents the memo alongside its sender and publication information, attachments and history. At the narrower inspected width the information remains available in a different arrangement; the sample attachment counts still need to be made consistent across widths.

Read the status as well as the body. Published means publication occurred. Recalled means the communication has been withdrawn from use, even if its text and files remain visible. If you need replacement instructions, contact the issuer through your organization's normal channel. Do not assume that recall removes copies someone already obtained.

The Sent to information describes the selected recipients or audiences. A shortened recipient summary is not an exhaustive membership list, and it is not a read receipt. Current People information can supply the displayed name, job title and department; those labels may differ from what was current when the memo was published.

Use the history to understand publication and recall. The recipient view omits internal approval activity and management routing. The displayed history does not show that a particular person opened or acknowledged the memo, and it does not prove completion of any follow-up work.

Open an attached file

Current limitation: Attachment opening still needs the interface connection fix described above. These steps describe intended use after that fix; confirm working file access with your organization before relying on it.

  1. Check the filename and any size/type information in Attachments so you select the intended file.
  2. Select its filename link or Open, as shown in the relevant layout.
  3. Wait for the document viewer to open. The system checks access to the selected memo and that the attachment belongs to it before creating a viewing session.
  4. If opening fails, return to the memo and confirm that it is still available to you before trying again. If the problem continues, report the memo reference and filename through your approved support channel.

This entry opens a view-only session. It does not provide a signing step, attachment replacement or a supported download/print workflow. A filename and file-type badge do not prove that the viewer can render the file successfully. Do not forward a viewing link as a way to grant another person access.

If a viewing session is no longer usable, reopen the attachment from the current memo rather than reusing an old link. Detailed recovery steps for unavailable or expired viewers are still being verified. Keep session links and confidential memo content out of ordinary support messages.

Browse memos you are authorized to manage

  1. Open Correspondence → Memos and choose Manage.
  2. Use the title/reference search and All statuses selector to find the relevant memo. A status such as Awaiting approval has a different meaning from Published.
  3. Review the title, recipients, status and preparing person, then select Open.
  4. Review the memo, attachments, saved status history and any approval or follow-up workflow context available to you.

The management list can include other people's memos within your organization. It should not be presented as a personal “my drafts” list. Its count reflects the selected search and status, not the number of memos waiting for your individual decision.

The detail design can show lifecycle actions such as recall, archive or starting a workflow. Their visibility depends on permission and current state; seeing a button is not confirmation that an action will succeed. Follow the lifecycle guide for confirmations, effects and recovery, including the archive confirmation that still needs correction. Publication, workflow progress, recipient reading and official-record filing must remain distinguishable.

When something is missing or fails

What you see What it means and what to do
Loading placeholders The list has not finished loading. Do not interpret placeholders as an empty result.
No published memos yet There is no recipient communication available in this view. Confirm your organization and ask the issuer whether the memo was published to you. Approval alone is insufficient.
No published memos found The search returned no match. Use Clear filters, then try a title or reference. Searching by sender is not supported.
No memos to manage No management items are available in the current context. Check that you are in the expected organization and have management access.
No managed memos found Clear the search/status filters and try again. A narrow filter can hide otherwise accessible memos.
The list could not be loaded Use Try again. The current implementation retries the applied search/filter request. Repeated failure is not evidence of zero memos.
Memos are not available Use Back to correspondence, or Back to workspace in the current interface, and ask your administrator to check access. Changing the view is not a way around permission checks.
A previously listed memo will not open Its status, visibility or your access may have changed. Return to the list and refresh before escalating with its reference. An archived memo is outside Communication.
Person unavailable or an incomplete recipient label Identity information could not be resolved completely. Confirm the person through an authorized channel; do not infer identity from the order of names.
The attachment will not open Confirm current memo access, retry from its attachment entry, and report the filename and reference if it persists. Never treat the list entry alone as proof that the bytes are available.

If the page changes while you read, reopen it before relying on its status or available actions. A list, its total and a later detail are observations taken at different times; activity between them can change what you see.

For the business meaning and wider limits, read Correspondence, memos and official letters.
