Governance, audit and incident response¶
HiveAI governance defines the approved purposes, providers, oversight and evidence that shape how AI can be used. Audit evidence helps explain a recorded outcome. Incident response gives accountable platform staff a way to investigate concerns, restrict affected capabilities and record recovery.
These responsibilities work together. An approved policy does not establish that every answer is correct. A successful answer does not prove that all evidence has finished recording. An incident marked closed does not restore deleted information or reverse a charge.
Availability¶
The backend implements tenant audit reads, platform governance summaries, policy and evidence recording, incidents and operational suspensions. 06 Final Screens shows a conversational audit summary and a Platform Console governance overview. The inspected frontend remains incomplete. The task guide describes those intended screens, separates them from backend-only procedures and identifies missing steps.
The current evidence does not establish deployment or a complete interactive incident-management journey. The general HiveAI availability and commercial boundaries remain in the platform overview. Private Cloud remains disabled.
Responsibilities¶
| Reader | Responsibility |
|---|---|
| Colleagues and external participants | Use only permitted workspace evidence, check the work outcome and report a concern without sharing protected content |
| Managers | Explain the business impact, affected work and recovery priority; request an authorized review |
| Executives | Assign governance and incident accountability, review aggregate evidence and resource corrective work |
| Tenant administrators | Help resolve tenant access and policy questions; an administrator title does not automatically grant organization-wide audit access |
| Organization heads with required permissions | Review tenant-wide audit evidence within the current tenant |
| Platform staff | Use their staff role to inspect governance; only an authorized Administrator may make the governance changes described here |
| Support | Preserve useful references, distinguish unavailable evidence from failed work and route concerns to the accountable owner |
| Engineers, designers and operators | Maintain evidence, authority, recovery and delivery boundaries documented in the private integration reference |
An executive or manager role in the organization does not itself grant the corresponding product permissions. A staff governance view does not authorize reading raw tenant conversations, documents or protected source content.
What governance covers¶
A versioned governance policy records the intended purpose, capability classifications, prohibited-use rules, supported jurisdictions, supplier evidence requirements, transparency wording, human oversight, literacy requirements, incident escalation rules and retention policy.
A new policy starts as a draft. It needs a material-change decision and, where required, approval before activation. Activation checks current supplier and role-specific literacy evidence, oversight controls and a versioned deployer pack. The effective period must include the activation time; activating a replacement must advance the current policy version. A blocked change or a prohibited/high-risk capability cannot be activated through this boundary.
These checks are product controls. A recorded jurisdiction or an approved policy is not a compliance certification or an independent assessment of the underlying evidence. Supplier approval also does not prove that a provider is provisioned and healthy in an environment.
Evidence and its limits¶
| Evidence | What it helps establish | What it does not establish alone |
|---|---|---|
| Tenant audit record | Recorded operation, policy/provider versions, authorization, usage and safety outcomes, time and references | Complete conversation content, every attempted request, or a final billing balance |
| Governance summary | Current effective policy, current supplier evidence, incidents, operational controls and evidence counts | A historical policy browser, a complete snapshot of every page, or a count of trained people |
| Incident record | Accountable investigation, latest response and closure details | Automatic containment, a full immutable timeline of every edit, or proof that no exposure occurred |
| Operational suspension | A recorded restriction and later reactivation decision | Immediate propagation to every tenant, cancellation of all work already dispatched, or repair of the original cause |
| Literacy evidence | A recorded subject, requirement/version, evidence reference and expiry | A unique person count, current employment verification or completion of every required course |
The guide explains how to interpret incomplete or unavailable evidence. The credits guide remains authoritative for balances and accounting follow-up. The action guide explains uncertain saved actions.
Interpret operational summaries¶
Platform staff can receive a summary combining platform activity, credits, incidents and recorded HiveAI processing metrics. These measures use different populations and time bases. Active tenants means currently active platform tenants, not necessarily organizations using AI. The incident total includes closed records. Current settled credits do not become spending for the chosen dates merely because they appear beside a date-filtered chart.
Processing counts describe received metric records. Ingestion counts can include outcomes other than successful indexing; quality counts do not establish how many unique answers were checked or whether those answers were correct. Use the measure's definition before comparing it with documents, conversations or business outcomes.
Small-group restrictions can hide some values while other totals remain visible. The activity buckets and processing counts use separate populations, and the implementation does not establish a minimum group size for every individual quality or processing category. A combined availability label therefore does not replace the reasons and limits attached to each measure. These aggregates support investigation; they are not a verified adoption rate, quality certification or return-on-investment calculation.
The underlying reads are implemented, but this documentation does not establish a connected metric-screen journey or delivery to an environment. The organization-intelligence overview distinguishes tenant-level activity totals and its separate advanced dashboard.
Incident lifecycle¶
An incident is opened, investigated and updated. Updating its response changes it to Mitigating. Staff may create a separate suspension for an affected model profile, capability, tool, tenant deployment or global deployment.
Before reactivating a suspension, corrective action must be recorded and the linked incident must be Mitigating. Reactivation requires an evidence fingerprint. A suspension recorded as High or Critical requires an approver different from its suspender. Closure is blocked while a linked suspension is still active.
The implementation also allows an incident without active suspensions to close directly from Open. It does not expose reopening a closed incident or editing a closed record through these operations. Follow-up work needs an accountable decision and an appropriate related record.
Business decisions and adoption¶
Agree who owns policy decisions, incident response, evidence review and communication before adopting a workflow. Identify the approved business purpose, information classification, provider and jurisdiction boundaries, the human decision maker and the fallback when AI is unavailable.
Use incident and evidence counts to ask focused questions about unresolved work. Avoid treating a low incident count as proof of safe use: automatic escalation covers selected outcomes, and evidence collection has failure boundaries. Literacy counts currently measure evidence records; they do not provide a percentage of staff trained.
Governance changes do not bypass licensing, permissions, source access or prepaid-credit controls. Opening an incident does not automatically refund a charge. Keep accounting reconciliation and business recovery tied to their own evidence.

Keep knowledge publication accountable¶
The knowledge lifecycle guide explains content-owner responsibility, cost approvals and publication decisions. A file check does not certify suitability for everyone, and source withdrawal does not prove complete erasure.
