Understand meeting updates in HiveComms¶
Meeting updates help you notice invitations, session changes and recording or transcript availability. A summary or inbox item is a starting point. Open the current meeting details to check the meeting, its people and the actions available to you.
Availability: This guide covers the inspected meeting-summary and notification paths and three intended final screens. The frontend still presents sample meetings. Connected delivery, admission, recording access and the complete meeting experience remain under verification.
Separate a summary from the meeting¶
A meeting summary is a personal view built from meeting updates. It is not the complete meeting record or a live view of everyone in the call. Your inbox can also contain a separate item about that meeting.
| Information | What to verify |
|---|---|
| Invited or scheduled summary | Check the current meeting time, people and access in its details. A summary does not grant admission. |
| Active summary or ready-to-join notification | Open the meeting and follow its current access process. A notification does not prove a live connection or bypass a lobby. |
| Ended summary | Check the actual session. A participant update can affect the summary; it does not necessarily mean the host ended the meeting for everyone. |
| Recording or transcript available | Open the meeting's artifact area when available and verify your access. An availability notification is not a playable file or a download permission. |
| No unread meeting badge | Review the relevant inbox and meeting when necessary. The inspected summary does not measure unread meeting updates. |
Personal summaries and the full Meetings browser serve different purposes. The intended Meetings browser shows schedule, people, access and actions. Do not infer all of those details from a short summary or expect a personal list to be an organization-wide meeting register.
Check a meeting after an update¶
The inspected final screens show the following intended route:
- Open HiveComms, then Meetings.
- Find the relevant meeting and use Open details where offered.
- Check the time, organizer, people, access and current meeting state before choosing an action.
- If a session has ended, use Open meeting details or Return to Meetings on the ended screen to continue.
These steps describe the observed design. The current frontend's sample links do not establish connected selection of a real meeting. Joining, hosting, guest access and recording controls require their own completed guidance and implementation checks.
The published-detail sample currently combines Published/Ready labels with text saying the meeting is not published. That contradiction is being tracked for correction. If your meeting shows conflicting states, ask the organizer or your support team to confirm its current status before publishing, starting or withdrawing it.
When people or sessions change¶
An update may concern one person's access rather than the whole meeting. In the inspected implementation, a participant's admission, denial or departure can update summaries for the session's recipient list. Wording such as “You joined” or an Ended label therefore needs reconciliation with the actual person and session.
If someone leaves, do not assume everybody's call has ended. If a summary says you joined, do not assume a live connection was established on your device. Check the current meeting and your own access.
A later update can change the summary's title and description. It may describe a participant change or artifact instead of the meeting's original title. Use the meeting reference and details to confirm that you are looking at the intended session.
Recording and transcript updates¶
Recording and transcript processing can finish after the meeting ends. The ended-screen design explains this delay, but it does not guarantee that capture was enabled, processing succeeded or you have access to the result.
An update saying an artifact is available should lead you to its current meeting context. Verify the actual item and its access there. A later replacement or deletion may make an older availability item misleading. Notifications are not a complete artifact-version history.
Read meeting activity history for the distinction between recorded actions, provider operations and available artifacts.
Recover from missing or misleading updates¶
| Situation | Next step |
|---|---|
| A meeting is missing from your summaries | Check the full Meetings area and your invitation with the organizer. Summary delivery depends on recipient and account information; an empty summary list does not prove the meeting is absent. |
| A participant leaves and the summary says Ended | Check the current session before leaving or cancelling anything. Report the mismatch with the meeting reference and approximate time. |
| The summary shows an unexpected generic title | Open the intended meeting details and compare its reference. An update can replace summary wording. |
| A ready-to-join item refers to an earlier session | Check the current session and time. Repeated sessions can share a work-attention item in the current implementation. |
| Another meeting linked to the same work does not appear correctly | Use the meeting's own details and contact support. Multiple meetings attached to the same work have an unresolved summary-identity constraint. |
| A recording alert remains after replacement or deletion | Review the current artifact list; do not rely on the older alert as proof that the original item is still available. |
| The screen stays stale after a change | Refresh and reopen the current meeting. A background refresh signal does not prove the browser displayed the latest result. |
Share the workspace, meeting/work reference, affected view, expected change and approximate times with authorized support. Avoid sharing guest links, access tokens or private recordings in an ordinary support message.
Managers should confirm attendance, session completion and capture outcomes from their owning records. The summary and inbox counts are attention aids, not a complete attendance report or delivery guarantee.
