Review governance evidence and follow an incident

Use this guide to understand a HiveAI outcome, raise a concern or review governance decisions. The intended screen wording comes from 06 Final Screens. The frontend is still in progress, so the screen journeys below are design intent and are not a claim that they are available in your environment.

Before you begin

Confirm the workspace, your current role and the work you are investigating. Keep the approximate time and time zone, a safe description of the issue and any displayed run, action or incident reference.

A colleague needs permission to read their own audit evidence. Organization-wide audit requires organization-head authority and the relevant permission. The Tenant Admin audit service requests that wider scope; a delegated tenant administrator can therefore be refused even if they can open other administration pages.

Platform governance is a separate staff responsibility. A Viewer can inspect the staff overview; an authorized Administrator performs its changes. Ask the appropriate owner when access is unavailable instead of moving tenant information into another workspace.

Ask for audit evidence in HiveAI

The intended HiveAI screen is titled HiveAI audit evidence. It shows a request for recent knowledge and voice usage evidence followed by a concise answer.

  1. Open HiveAI in the workspace you intend to inspect, when that experience is available to you.
  2. Ask for the evidence relevant to your work, using safe references and a time description.
  3. Read the scope and returned evidence carefully. The current read capability supports personal evidence, or an explicitly requested tenant-wide view for an authorized organization head.
  4. Compare the answer with the original work and, for usage questions, the credits guidance.
  5. Keep the displayed references if a result needs support follow-up.

The design includes Filter this evidence in the composer. It does not show a completed filter dialog or a paginated audit table. The inspected audit read accepts scope and paging, but does not implement arbitrary date, incident or content filters. A conversational request must not be interpreted as proof that every requested filter was applied.

The illustrated answer combines knowledge publication, processing settlement, voice settlement and audio-retention facts. The audit read alone does not return all of those facts. A finished experience must obtain each from its authorized source. Until that composition is verified, treat the illustration as intended presentation rather than an available audit report.

Understand an audit result

Audit evidence records metadata about work: the operation, policy and provider versions, authorization and credit outcomes, usage counters, latency, citation count and any incident reference. It excludes raw prompts, document text, tool inputs/results and generated answer bodies from the audit read.

Result or situation How to interpret it What to do next
No rows returned No matching evidence was returned in your current scope Check the workspace and authority; do not conclude that the action never happened
Evidence is unavailable The system could not provide an authorized current read Keep the reference and ask the accountable support or administration owner
A person’s name is unavailable The record can exist without a current display name Use the permitted reference; do not guess an identity
A recorded safety outcome shows no violation That record did not classify its outcome as a recognized safety violation Continue normal source and human review; this is not proof that every check ran or the answer is correct
A successful answer has no final audit row yet Evidence finalization can fail after a paid answer has settled Preserve the run reference and request reconciliation; do not repeat paid work solely to create evidence
More evidence is available The current page is incomplete Use a supported continuation when available; avoid assuming the visible rows are the full history

Audit data is time-sensitive. New work and changes can occur while you read several pages. Audit metadata is also distinct from the usage ledger: a token counter or settled status does not provide the final balance, grant history or adjustment outcome.

Some failures occur before an authorized execution context exists and are not written by this audit writer. A missing record is therefore neither proof of success nor proof that no attempt was made.

Read the Platform Console overview

This intended journey is for authorized platform staff.

  1. Open Platform Console using your staff access.
  2. In the intended navigation, select HiveAI.
  3. Review Governance and incident response. Check the policy version, effective date, approved boundary and human-review requirement.
  4. Review the literacy evidence and incident summaries.
  5. Select Open incident record when that destination is available, and verify that the record matches the incident reference you intended to inspect.

The inspected final screen supplies the overview and that button. It does not establish the destination’s detail page, editing form, confirmation, error or recovery steps. Detailed incident actions below are supported backend procedures for the authorized owner; they are not invented click instructions.

The illustrated Current evidence card says “people,” but the current service counts evidence records. One subject can have several requirement records, and the summary’s current count is based on expiry alone. It is not a reliable unique-person or completed-training count. The activation check separately verifies completion time for each required evidence record.

The incident summary counts all recorded incidents by status. It is not the number of incidents affecting your tenant or a selected reporting period. The Private Cloud notice remains a disabled-capability boundary.

Report a concern

A concern may involve an unexpected disclosure, an unsafe answer, incorrect access, unclear usage, an unavailable approved provider or an action whose result cannot be confirmed.

  1. Stop relying on the disputed result for the affected business decision.
  2. Record the workspace, approximate time and zone, affected work, visible outcome and available references.
  3. Explain the business impact and whether work is still continuing.
  4. Send that context through your organization’s established support or incident channel.
  5. Follow the accountable owner’s instructions for the original work and any pending decision.

Keep raw prompts, transcripts, outputs, documents, credentials and Secret information out of routine tickets and incident summaries. Describe the concern without copying the protected material. If source content needs examination, the owner must use the authorized source process.

Do not infer that the system has already opened an incident because an answer was refused. Automatic escalation checks selected outcome reasons. It does not cover every possible concern, and it does not automatically suspend the affected capability.

Record investigation and corrective action

An authorized platform Administrator can open an incident with a unique reference, severity, category, safe summary, impact and response evidence, and detection time. The server records the accountable actor and record time.

An update records the latest severity, summary and response, with the current actor and time, and moves the incident to Mitigating. It does not update the original category or impact fields through this operation. Preserve the approved supporting evidence rather than assuming the record contains a full version history of every edit.

The operation rejects updates to a closed incident. It also validates chronology and rejects recognized sensitive fields or credential markers. Those checks do not make arbitrary free text safe; the author still needs to minimize content.

Choose severity according to the accountable incident process. The current update operation does not enforce a severity escalation hierarchy. A suspension retains the severity recorded when it was created, so staff must reassess approval needs if the incident’s impact later changes.

Restrict an affected capability

An incident record and a restriction are separate. An authorized Administrator identifies the smallest appropriate scope and target:

Scope Intended extent
Model profile The affected configured model profile
Capability A particular HiveAI capability
Tool A particular governed tool
Tenant deployment HiveAI for one tenant
Global deployment HiveAI across the platform

The restriction records the linked incident, reason, actor and time. A closed incident cannot receive a new suspension through this operation.

The decision is propagated to affected tenant services. A saved suspension alone does not prove that every service has received it. Operations staff must verify the affected services before confirming containment. Do not assume that it cancels work already sent to a provider or reverses a completed action.

Ordinary tenant audit access may itself be unavailable while a broad suspension or current governance restriction applies. Platform investigation and recovery need to use their authorized staff processes.

Reactivate and close with evidence

An authorized owner should confirm the corrective work, evidence and affected scope before reactivation.

  1. Record the corrective response so the linked incident is Mitigating.
  2. Keep the approved recovery evidence and its required fingerprint.
  3. Have an eligible Administrator reactivate the specific suspension. For a suspension recorded as High or Critical, this actor must differ from its suspender.
  4. Ask operations to verify propagation and the intended restored behavior.
  5. Close the incident only after no linked suspension remains active and the closure reason and evidence are ready.

Reactivation changes that suspension’s decision; it does not restore every other suspended capability or repair configuration. The same suspension cannot simply be reactivated twice. A new restriction is a new decision.

The backend also permits direct closure of an Open incident if no active suspension is linked. Whether that is appropriate is an accountable process decision. There is no verified reopen operation for a closed incident in this feature.

Review policy and evidence changes

Policy administration is separate from the visible overview. Detailed creation and confirmation screens have not yet been verified.

Before activating a policy, the owner reviews the intended purpose, allowed capabilities, provider and jurisdiction boundaries, transparency, human oversight, required supplier and literacy evidence, incident rules and retention. The policy must be within its effective period and, when replacing a current policy, use a higher version.

A nonmaterial classification is treated as approved; a material change needs approval. The policy change path does not require the classifier and activator to be different people. Do not assume that the separate High/Critical suspension approval rule applies to every policy decision.

Evidence recording stores a reference and fingerprint; it does not upload, independently evaluate or certify the underlying document. An expired record cannot simply be overwritten under the same recorded requirement/version. Coordinate the correct new evidence version and policy requirements with the owner.

Current supplier and literacy evidence, human-oversight controls and a versioned deployer pack are checked at activation. These product checks do not establish provider availability, general compliance certification or a deployed user experience.

Recover an uncertain decision

If a policy or incident change times out, the saved outcome may be uncertain.

Keep the original request or action reference and intended fields. Refresh the authorized overview or known record and compare the current state with the intended change. Avoid creating another incident or repeating activation, suspension or reactivation merely because the response was lost.

The summary shows only the current effective policy, current supplier evidence and paged incidents/controls. A newly created draft policy or expired evidence may not appear. Absence from the summary is not proof that creation failed.

If the original outcome cannot be established, ask the accountable support owner to investigate it using the original identity. The saved-action recovery guide applies when the change was prepared as a conversational action. Detailed stale-review and uncertain-result screens remain unfinished.

Keep history and deletion separate

Closing an incident, retiring a policy or reactivating a control does not erase its decision record. Removing retained audio does not prove that audit or usage evidence has been erased.

Tenant export and deletion, individual data requests, legal holds, source retention and platform governance records have different boundaries. Request the relevant approved lifecycle process; do not promise complete erasure from a successful incident action or conversation deletion.

For support, provide the permitted reference, scope, approximate time, visible state, expected result and last confirmed action. Say explicitly whether the outcome is unknown. Managers and executives should review unresolved impact, accountable ownership, remaining restrictions and recovery evidence, rather than treating a status label as the complete investigation.
