Billing access and recovery¶
Billing administration and access to paid products are different permissions. An organization may need an administrator to resolve its subscription while ordinary product work is unavailable. This page describes the current backend boundary; connected recovery screens and environment availability still need verification.
Who needs administrator access¶
The workspace Billing area is for organization administrators. A finance responsibility agreed within your organization does not automatically assign that platform role. Being an organization head, using WorkOS or holding another product licence is also insufficient by itself.
The platform checks current account and membership eligibility, the administrator role and whether the member's branch remains active. A role displayed in an old session does not replace current authorization. Being able to view a preview button does not establish permission to use the operation.
A person who only needs to report an access or payment problem should contact the workspace administrator. Authorized platform staff may inspect billing under separate support access rules; that read access does not itself authorize purchases or changes on behalf of the organization.
Why billing can remain available when products are blocked¶
The billing administrator check does not require the administrator to hold a product seat or the organization to have current paid-product coverage. Eligible administrators can receive a recovery session without access to the products. This allows administrative recovery to be considered without treating access to billing as proof that WorkOS, HiveOrbit or another product is usable.
Recovery still requires an eligible account and membership. Deprovisioned organizations do not pass the billing administrator check. A financial problem, a voluntary pause and a security suspension need different recovery decisions; a request to pay is not a universal remedy for every suspension. Individual billing operations retain their own validation and lifecycle rules.
If product access has ended, ask the administrator to review the actual subscription and workspace state. If the organization requires support intervention, follow that route rather than repeatedly paying or trying to grant a product licence. A successful payment and restored member access are separate outcomes to verify.
Subscription coverage and product access explains exact trial and paid expiry, conditional renewal grace and free-plan dates. These commercial rules remain distinct from the administrator check described here.
Before the first workspace payment is complete¶
The platform has a separate initial-checkout recovery path for eligible administrators who have not yet selected an organization session. It still checks the current administrator relationship and the checkout's organization and initial-subscription identity. Knowing a checkout reference is not enough to gain access.
The initial-checkout list is a selected recovery view, not the full billing ledger. An absent recovery item does not prove that no saved payment request exists. Preserve the original reference and follow initial checkout recovery. A retry remains subject to payment reconciliation and the checkout's state; access to the recovery view does not guarantee that retry is allowed.
Understand an access failure¶
| What is known | What to establish next |
|---|---|
| You are not an organization administrator | Ask the responsible administrator to review billing. A product licence or management title does not substitute for the role. |
| Your organization selection does not match the request | Confirm the intended workspace and use the appropriate organization session. Initial checkout has its own narrower recovery path. |
| The platform cannot verify current authority | Refresh the original Billing view to check again. A failed lookup does not prove that your administrator role was revoked. If access still cannot be checked, keep the workspace, original purchase reference, time and displayed message for authorized support; do not start another purchase to clear the error. |
| Your session requires sign-in again | Sign in with the account eligible for the intended workspace, then return to the original record. Signing in does not by itself grant an administrator role or confirm a purchase outcome. |
| Your account, membership or branch is no longer eligible | Resolve the relevant access restriction; changing the subscription alone does not override it. |
| Billing is accessible but a product remains unavailable | Check the commercial outcome and the person's product assignment and access conditions separately. |
Use the Billing task guide for the inspected intended journey. When asking for help, provide the workspace name, safe workflow reference, time and displayed message through the approved support channel. Do not share passwords, session tokens or full payment-card details.
