Choose your email updates

Use Email updates to control the optional messages sent for your Zerohive account. Your choices apply across the workspaces you use. They do not change your assigned work, approvals or access rights.

Availability: these steps follow the Auth and Entry 06 Final Screens and the inspected account frontend. The frontend includes loading and saving connections, but a live account-to-mailbox walkthrough has not been verified. The current screen has two optional categories; SMS, device push and a separate workflow-alert switch are not available through this page.

Before you start

Sign in to the Zerohive account whose choices you want to change. Use your account settings rather than a workspace's administration settings. This is an account-wide choice: turning a category off here affects its optional emails across workspaces.

Decide whether you want to stop an email category or resolve an unexpected business event. If a leave request is wrong or you were added to the wrong group, changing email preferences will not correct that source record. Follow up in the relevant product as well.

Open Email updates

  1. Open your account settings. If you are already on your Profile page, use the adjacent account tabs.
  2. Select Email updates.
  3. Wait for your saved choices to load. A loading placeholder is not a saved on/off value.
  4. If Email choices unavailable appears, select Try again to reload. Review the actual choices after loading succeeds before making changes.

The desktop design places Email updates beside Invitations, Requests and Profile. The inspected mobile version shows Profile and Email updates together. Back to Workspaces returns to workspace selection; Create workspace starts a different task and does not save your email choices.

Choose the optional categories

Choice Turn it on to receive Turning it off means
Leave updates Email when a leave request is submitted or its status or balance changes. Those optional leave emails are suppressed after the sender receives the updated choice. Leave records and approval responsibilities remain.
Group membership changes Email when you are added to or removed from a chat group. Those optional membership emails are suppressed after the sender receives the updated choice. It does not mute all messages or reverse membership changes.

Select each switch to the value you want, then review both choices. New accounts begin with the optional categories enabled, but the page should display your saved account choices rather than a sample value from a design.

The system also stores a workflow deadline/escalation email choice. The inspected screen does not expose it, and saving this page preserves its current value. If you need help with that category, identify it specifically to support rather than assuming one of the visible switches controls it.

Save and confirm your choices

  1. Select Save changes after reviewing both switches.
  2. Wait while the action shows Saving changes…. Changing a switch alone is not a confirmed save.
  3. Check for Email choices saved and review the choices now displayed.
  4. If you need to verify the saved account state, reopen or reload Email updates and check the loaded values.

The saved message concerns your account preferences. It does not prove that the notification sender has already applied them to every pending message, nor that a previous email was recalled. A message already in progress may arrive after the change. There is no verified maximum synchronization time in this guide.

The saved-state design gives an example of leave updates off and group membership changes on. Your own result should reflect your choices; that example is not a required configuration.

Recover when saving is uncertain

If Changes not confirmed appears, review the visible choices again and use Try again once you are ready to resubmit. The current frontend reloads account preferences after a failed attempt, so do not assume that unsaved switch positions were retained.

If you lose your connection or leave before confirmation, return to Email updates and read the saved values. Avoid repeatedly submitting while the original result is uncertain. When the displayed values disagree with what you intended, change the relevant switches and save again after checking the current state.

If sign-in is required again, use the normal sign-in flow and then return to Email updates. Never share a password, verification code or recovery link to get help with preferences.

Understand Important messages stay on

The information panel explains that account, security, invitation, billing, export, compliance, operational and official correspondence messages remain outside the two optional controls. Turning off leave or group membership emails does not disable those service categories.

This is a settings rule, not a delivery promise. An enabled category can still encounter a delayed or failed send, an incorrect destination or a mailbox rejection. Use the current account or work item to confirm the underlying result. A security email being delayed does not justify sharing its secret or bypassing verification.

Investigate a missing or unexpected update

What happened What to check
A leave or group-membership email is missing Check the corresponding saved choice and the underlying event. There may be no new event requiring an email.
An optional email arrived after you switched it off Confirm the saved choice and when it changed. The sender may have processed the message before the preference update arrived. Report persistent unexpected delivery with its category and time.
A billing, security or invitation email still arrives Those categories are not switched off by the visible optional controls. Investigate an unexpected event through its owning account or workspace process.
There is an inbox item but no email The inbox and email have separate delivery behavior. Check the category rather than assuming every inbox item creates an email.
An email arrived but its link no longer opens the item Return through Zerohive and check your current access and the item's state. Old email content does not override revoked access, expiry or deletion.
SMS or device push is missing These channels are disabled in the inspected implementation. An email preference change does not enable them.
The page repeatedly fails to load or save Record the visible error, time and account context, then contact support through an approved channel. Review the saved choices after recovery.

For email delivery problems, check the intended mailbox and its spam or filtering rules. Give support the type of update, approximate time, affected workspace/work item and whether the corresponding action succeeded in Zerohive. Share message identifiers only through the approved support process, and omit unnecessary personal content and secret links.

Keep notifications separate from work completion

A sent email is a communication attempt. It does not complete a task, approve leave, end a meeting, prove that someone read an official letter or update a person's permissions. Open the relevant feature for its current state and available actions.

Managers and administrators should use the notification overview to distinguish delivery channels and business evidence. Understand the emails you receive explains the supported account, work, access, billing, capacity and export notices and their next steps. Engineering and operational investigation remains in the private documentation.
